Regulations of Willa Wojdyłówka

House Rules

§ 1. INTRODUCTION

  1. These regulations define the conditions of stay at the Willa Wojdyłówka Apartments in Kościelisko at ul. Wojdyłówka 5, postal code 34-511, phone number: 660 719 300, as well as the provision of apartment rental services for residential purposes.

  2. The apartments are managed by the company Doxa ZN Sp. z o.o. headquartered at Al. Jerozolimskie 65/79, 00-697 Warsaw, NIP: 5272826633, KRS: 0000703124, registered in the entrepreneurs register maintained by the District Court for the Capital City of Warsaw in Warsaw, XII Commercial Division of the National Court Register, share capital: PLN 5,000.00, hereinafter referred to as the Lessor.

  3. As the Lessor and Hosts of Willa Wojdyłówka, we highly appreciate your cooperation in adhering to these regulations, which are intended to ensure a peaceful and safe stay for Guests.

  4. We will make every effort to ensure your stay is pleasant and safe.

  5. We kindly ask that as Guests you behave as you would like others to behave towards you.

§ 2. APARTMENT RENTAL SERVICE

  1. The rental price includes all taxes and additional charges, i.e., fees for utilities such as electricity, water, Internet, TV.

  2. The Apartment is equipped with bedding and towels.

  3. For stays of up to 7 days inclusive, an additional change of bedding and towels during the stay is possible for an additional fee. Please check the fee amount in the extra services price list at the end of the regulations.

  4. For stays longer than 7 days, the Guest has the right to request, once a week, a change of towels and bedding free of charge. Please notify the Hosts of Willa Wojdyłówka of your wish for the exchange.

  5. The parking lots are unmonitored, so we do not take responsibility for damage to or loss of cars or other vehicles belonging to the Guest.

  6. The Guest may arrive at the Apartment with their pet. The Lessor charges an additional fee for this service. Please check the fee in the extra services price list at the end of the regulations. For hygiene reasons, pets are not allowed in areas where meals are consumed, children's playgrounds, and other designated places on our premises. Pets on the premises of Willa Wojdyłówka must be kept on a leash, and the Guest is obliged to clean up all waste left by their pet. Bringing pet bedding is required. Pets are prohibited from being on beds, sofas/couches, and armchairs. Leaving pets alone in the apartment during the owner's absence is prohibited.

  7. We reserve the right to refuse acceptance of a Guest's pet if we assess the animal as potentially dangerous or likely to disturb the order or peace at Willa Wojdyłówka.

  8. As the Lessor, we undertake to promptly respond to any comments and objections regarding the level of services, operation of devices, cleanliness, and order in the Apartment by taking actions to immediately remove defects or deficiencies.

  9. As the Lessor, we are responsible for the quality of provided services in the manner specified by applicable law.

  10. We are not responsible for personal belongings of the Guest left or stolen from the Apartment in case of burglary.

  11. If items belonging to the Guest are found in the Apartment after their departure, they may, at the Guest's explicit request, be sent to the specified address. The shipping cost is borne by the recipient.

§ 3. GUEST'S OBLIGATIONS

  1. The Guest undertakes to use the rental object - the Apartment - exclusively for residential purposes and may not sublet or allow free use of the Apartment to third parties.

  2. The number of persons staying in the Apartment is limited to the number declared during the reservation process. Each Apartment also has a maximum number of Guests allowed. The Lessor may allow a higher number of guests than the maximum for the Apartment for an additional fee. Please check the fee in the extra services price list at the end of the regulations.

  3. The Guest is obligated to respect good neighborliness. In the event the Guest significantly disturbs the peace or the rights of neighbors and does not adhere to commonly accepted standards of coexistence and these regulations, the Lessor reserves the right to terminate the agreement without notice and is then not obliged to refund the Guest for the unused period of stay (contractual penalty).

  4. The Guest is required to keep the Apartment in the condition found at the beginning of the stay. Moving furniture and household appliances/electronics provided in the Apartment is prohibited.

  5. We ask Guests to separate waste according to the markings on the containers in each apartment's kitchen, in the garage containers, and according to the instructions given by the Host.

  6. Quiet hours apply throughout Willa Wojdyłówka and all Apartments from 10:00 PM to 7:00 AM. Persistent and egregious violation of this rule will be subject to §3 point 3 of these regulations.

  7. The Guest is financially responsible for any damages or destructions to the equipment and technical devices caused by themselves or persons staying in the rented Apartment during the rental period. The Guest is financially liable for any damages and cannot replace damaged items independently. We remind that parents are responsible for any damages caused by children. The Guest is also responsible for damages caused by their pet(s).
    We reserve the right to charge Guests for damages beyond normal wear and tear and for any required extended cleaning of the apartment. Upon check-in, the Lessor may ask for a deposit of 500 PLN in case of potential damages. The deposit is refunded after the apartment's condition is checked within 2 days from check-out.

  8. Please remember that we are not responsible for the safety of children playing on the premises.

  9. Please observe the prohibition of entering the embankments on the premises of Willa Wojdyłówka.

  10. The Guest is responsible for the keys to the Apartment. The fee for losing the Apartment keys is specified in the extra services price list at the end of the regulations.

  11. Due to fire regulations and above all for the safety and comfort of Guests, smoking and the use of open flames, including lighting grill devices, is strictly prohibited in the Apartment! In case of violation of the smoking ban, the Guest is obliged to pay a contractual penalty of PLN 500.

  12. The Lessor has the right to refuse admission to a Guest who during a previous stay grossly violated the regulations, caused damage to the Lessor’s property, or disrupted the principles of good neighborly coexistence.

  13. Organizing any kind of events (bachelor, bachelorette parties, and similar) in the Apartment without the Host's consent is prohibited. In case of violation, § 3 point 3 of these regulations shall apply.

§ 4. ARRIVAL, KEY HANDOVER, AND PAYMENT

  1. The hotel day starts at 4:00 PM and ends at 10:00 AM the next day.

  2. Check-in starts from 4:00 PM. Late check-in is possible. In such a case, please contact us by phone in advance to confirm this possibility. We reserve the right to charge the Guest an additional fee for this service as specified in the extra services price list at the end of the regulations.

  3. If the Guest is unable to arrive at the arranged time, they must immediately notify the Host by phone.

  4. Guests are required to show a personal ID and proof of paid reservation when receiving the apartment. Apartment keys are handed over by the Host or an authorized person.

  5. Payment for the stay is made in advance on the day of arrival unless paid earlier.

  6. The Lessor accepts cash or payment by Visa, Visa Electron, MasterCard and Maestro credit or debit cards. Payment can also be made by bank transfer.

§ 5. PERSONAL DATA PROCESSING

  1. The Lessor is the administrator of personal data within the meaning of Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016, on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation - GDPR).

  2. The Lessor's contact details serve as contact for the processing of Guests' personal data.

  3. Processing of Guests' personal data may include data such as: first name, last name (including sole proprietorship name), address of residence, PESEL, ID card number, email address, phone number, information on the date and time of a telephone call and call status (missed, received), IP address, preferred date and time of service, data related to the bank account used for the transfer, credit card or other payment form containing personal data, vehicle registration number, data of other guests including children and their age. In case of a credit card hold to secure claims due to potential damage to the Apartment, data such as the card owner’s name, card number, expiration date, and CVV code may be stored.

  4. To enable the Lessor to conclude and execute the agreement, the Guest is obliged to provide their personal data such as name and surname, email address, phone number, payment data, and data of other Guests including children and their age. Providing data is a condition for concluding the agreement.

  5. Moreover, the purposes of processing Guests' data include: pursuing potential claims or defense against claims, documenting service performance for tax purposes, ensuring the highest quality of services, ensuring Guests' safety, and preventing damage to the Administrator or Guest.

  6. If data processing is based on the legitimate interest of the Administrator, including direct marketing of own services, the Guest has the right to object to such processing at any time.

  7. When personal data are processed based on Guest's consent, such consent may be withdrawn at any time.

  8. Personal data may be transferred to the following categories of entities: IT support and software providers, accounting firms providing accounting services, shareholders for reporting and support, transport and taxi companies when ordered by the Guest, companies organizing optional events on Guest's request. Data may also be made available to other recipients for purposes arising from legally justified interests of the controller or a third party.

  9. Data will be processed for the time necessary to fulfill the processing purposes, i.e., until the contracts are completed, and thereafter for the period required by law or for potential claims.

  10. Guests have the right to request access to their personal data, correction, restriction of processing, deletion, or transfer.

  11. If it is found that processing of Guests' personal data violates GDPR, a complaint may be filed with the supervisory authority, i.e., the President of the Personal Data Protection Office.

  12. Providing personal data is voluntary; however, failure to provide data may result in the inability to provide rental services.

§ 6. COMPLAINTS

  1. In case of irregularities, the Guest has the right to file a complaint (including related to electronic reservations) within 14 days of their occurrence. Complaints, grievances, and all claims should be sent to the address

  2. Complaints will be reviewed within 14 business days from receipt. The Guest will be notified immediately by e-mail of the manner of consideration.

§ 7. FINAL PROVISIONS

In the event of disputes arising from actions not covered by these regulations, the provisions of the Polish Civil Code shall apply.

Within the scope permitted by mandatory laws, agreements concluded are subject to Polish law.


Price List of Additional Services

  1. Change of bedding and towels during stays up to 7 days inclusive:

  • per person – 30 PLN.

  1. Pet stay in the apartment

  • Per day, per animal – 60 PLN.

  1. Lost apartment keys – 100 PLN.

  2. Extension of hotel day (subject to availability) – 50 PLN per hour

  3. Baby cot – 50 PLN per day

  4. Additional person in the apartment:

  • 100 PLN per day

  • During Christmas period 150 PLN per day

  • During New Year period 200 PLN per day
